Starting small doesn't mean you're limiting yourself. It means you're giving yourself the opportunity to iterate and improve along the way.

I read The Book of Trespass for my Green book group this week and it reminded me of a meme I made juxtaposing two quotes about boundaries. 🧵

While are displayed on paper and screens, processes live through the employees that carry them out. If you want to improve processes, you need to be where the processes are carried out, where the real work happens.

Shutting off old processes is so incredibly cathartic. Ending the work week by ordering the shutdown of some REALLY old PCs running business-critical processes. Now in the thankfully.

A brutal story involving mass casualties in a 1915 rail accident yields an interesting discussion of “work as imagined” vs “work as practiced.”

This is why a process improvement effort should start with an analysis of the current state as actually practiced, not just as designed.

Impeccable storytelling as usual from from @TimHarford ‘s Cautionary Tales Podcast.

I really can't help it. I love optimization.

Even with something small like stuffing Christmas cards, it's great fun to determine the best way to structure the system for efficiency.

Taking into account all the variables - How many people do we have? What are their strengths? How can we structure the workflow so that WIP flows evenly through the system?

Then in-process - Identifying and adjusting bottlenecks, releasing work into the system, and so on.

Our system worked out well with the below setup - How'd we do Jonathan Bengtson?

▶️ 1) First action: Separate cards to envelopes.

▶️ 2) Second action: Take stack of envelopes and stuff cards, then seal. This action requires more skill and time, and so WIP must be released slowly from 1), or a less skilled worker (such as a 6 year old) should perform step 1)

▶️ 3) Third action: Sealed envelop moves to QA (Mom) for address label and return stamp - need a detail oriented person such as Sarah Miller on that ☺️

✅ This is the kind of thinking that needs to be applied as we move through our daily operations in business and technology as well. All of these optimization patterns (modularity, repeatability, resource matching) are ubiquitous to almost every vertical within their individual business units, from manufacturing, finance, sales, IT, Software Development, Cybersecurity, and more.

💡 As a department head, manager, C-Level, or business owner - are you focusing on where "WIP" is building up in your systems and causing undue issues, leading to long wait times, poor customer satisfaction, and/or end user morale issues?

▶️ Automation and process improvement are key to improving the overall information security posture of an organization.

✅ By automating repetitive tasks and streamlining processes, we can reduce the potential for human error and improve the signal to noise ratio in our security systems, while simultaneously delivering a pleasing experience for our users. Putting this approach into action allows us to more effectively identify and respond to potential threats, ultimately protecting our organization and reducing overall risk.

💡 Application in your day-to-day: Attempt to intentionally build in "muscle memory" by deliberately considering any activity you come across through the lens of "Should a human be doing this? Why?"

⚠️ Wasting cycles. It's a morale killer, and people don't even realize it.

This week my farm tech project was to set up a smart temperature sensor, smart plug, and auto-routine for turning on heat lamps in the chicken coop.

This way, when the temperature drops below a certain threshold, the heat lamps will automatically come on. Then, the smart plug measures wattage and output, so that if a drastic change occurs (e.g. a broken lamp) I get alerted so that no fires break out.

It also allows you to turn the heat lamps on from your phone or using your voice. 😎

This probably seems like overkill, and maybe it is for a chicken coop 😁, but the bottom line is: Now when the temperature gets below a certain threshold, I don't have to put my coat on, boots on, and walk out in the cold to the barn and then struggle getting the plug into a half frozen outlet. It saves cycles, and builds on care and safety for the animals.

I just got 15 minutes a day back, and one small piece of stress removed, all for an up front investment of $40 for the plug and a half hour of configuration time.

💡I don't care who you are, these things add up, negatively or positively.

✅ It may seem small to take some time out to improve a seemingly easy task, but these little pieces of ownership have macro implications and a cumulative effect on the health of your business.

Workflow automation is a morale and culture builder. Are you focusing on it?
